1. Who is responsible

Varipro Trading (Pty) Ltd, registration number 2026/754735/07, with business address at 76 Jack Nicklaus Drive, Pecanwood Estate, Hartbeespoort, North West, 0240, South Africa, is the responsible party (data controller) for information collected for its business through this website. For privacy and compliance matters, contact the Compliance Officer at admin@variprotrading.co.za.

For all other enquiries, email orders@variprotrading.co.za or call +27 (63) 539-7869.

2. Information collected and your choices

Catalogue requests: we use the email address and request details you send to provide the relevant catalogue or product information. The promotional products catalogue is being prepared. If you request it, we retain your request to send you a one-time email with a copy as soon as it is ready. We record your selection, request wording and receipt date. You can cancel that request through the Compliance Officer. A catalogue request or launch notification does not subscribe you to ongoing marketing. Earlier catalogue-notification signups may include an email address, consent wording, timestamp and notification status; those records remain subject to their original purpose and your rights.

Enquiries and orders: if you contact us by email or WhatsApp, we receive the details you choose to send, such as your name, business contact details, product requirements and artwork. Delivery and billing details may be needed later to fulfil an agreed order. When you submit the website enquiry form, Netlify receives and stores your name, email address, enquiry type, requirement, any optional quantity and delivery area, catalogue selection, any promotional catalogue launch request and separate marketing choice. A record of the consent wording/version and submission date is retained with your request. Notification copies are sent to our enquiries mailbox. Netlify also processes technical information to operate the service and filter spam. Email and WhatsApp enquiries are processed through those services when you send them. The form does not accept file uploads.

Website hosting and technical information: our website hosting and technical service providers may process IP addresses, browser and device information, and request logs to deliver, maintain and secure the website. Where access controls are enabled, information needed to manage authorised access may also be processed. This information is not automatically added to a marketing list.

3. Why we use information

We use catalogue requests to send the requested catalogue or relevant product information, including the promotional catalogue when it becomes ready. Any earlier notification opt-in remains limited to that notification. Neither is consent to a general newsletter or unrelated advertising. If you separately opt in, we use your name and email address to send Varipro Trading product updates, new arrivals and promotions. We retain the consent wording and version with the received request and its date. You can unsubscribe using the instructions in any marketing email or by contacting the Compliance Officer. Declining marketing does not affect your catalogue request or enquiry. You may withdraw consent by contacting the Compliance Officer at any time.

We use enquiry and order details to respond to you, prepare a quotation, obtain artwork approval, coordinate supply and delivery, and handle support. Depending on the purpose and applicable law, processing is based on your consent, steps you request before a contract or fulfilment of that contract, legal recordkeeping duties, or legitimate interests in securing our systems and resolving enquiries or disputes.

4. Disclosure and confidentiality

Catalogue signups are not published on the website. The website has no public directory or public access to signup records. We do not sell personal information or publish customer details, logos, artwork or completed orders as marketing examples without permission.

Necessary information may be disclosed to authorised people handling your request and providers involved in hosting, communications, production or delivery. For example, a branding provider may need your approved artwork and a courier may need delivery contact details. Disclosure may also be required by law or necessary to establish or defend legal rights. This is not a promise that information will never be shared.

Netlify provides website hosting and form processing. Our email service handles enquiry notifications and replies. These and other service providers process information under the terms and data-protection arrangements applicable to their services. Email, WhatsApp and marketplace providers have their own privacy practices. Contact the Compliance Officer if you need information about providers relevant to your personal information.

5. Cookies and external links

The website application does not set advertising or analytics cookies, use tracking pixels, or save form details in browser local storage. Fonts and product images are served with the site. Our hosting and technical service providers may use cookies or similar technologies for access, security and essential operation. Any cookies introduced by the hosting platform must be assessed as part of the website’s cookie review.

Email and WhatsApp links open external services only when you choose them. Information you send there is subject to the relevant provider’s terms and privacy policy. If we introduce optional analytics or advertising trackers, we will update this notice and obtain consent where required before activating them.

6. Retention and international processing

Marketing contact details are retained while the subscription remains active and necessary for that purpose. On withdrawal, we stop marketing and may keep a minimal suppression record to honour your choice. Catalogue requests, including promotional catalogue launch requests and earlier notification signups, are kept while the request is pending, then reviewed for deletion when fulfilled, withdrawn or no longer needed. A limited record may be retained where necessary to document consent, honour an objection or meet a legal requirement. Enquiry and order records are retained according to the purpose of the enquiry, the order and support lifecycle, applicable recordkeeping duties and any unresolved dispute. This is a purpose-based retention policy, not an automatic deletion schedule. Retention reviews cover Netlify submissions, notification emails, exports and any business records made from them. Deleting a submission from Netlify does not automatically delete notification emails or exported copies.

Hosting and communications can involve processing outside South Africa. Any international processing remains subject to applicable data-protection requirements and the provider agreements that apply; we do not promise a particular hosting country.

7. Information to keep private

Only provide what is needed for your enquiry. Do not submit payment-card details, passwords, identity documents or health information through the website. For initial quotes, a delivery area is usually sufficient. Remove unrelated personal information from photos, drawings and supporting documents, and only share material you are authorised to provide.

Website enquiries are stored in Netlify Forms and notification copies are sent to our enquiries mailbox. Form entries are not published on this website. Only provide information needed for your request. Marketing requires a separate opt-in; submitting an enquiry or catalogue request alone does not subscribe you. No online service can guarantee absolute security or confidentiality. Report a suspected privacy or security issue to the Compliance Officer at admin@variprotrading.co.za.

8. Access, correction, deletion and complaints

You may ask whether we hold information about you, request access or correction, request deletion where the law allows, object to applicable processing, or withdraw consent without affecting earlier lawful processing. Other rights, such as restriction or portability, may apply depending on your jurisdiction.

Email admin@variprotrading.co.za with your request. For a catalogue withdrawal, use the subscribed address where possible. We may ask for proportionate verification before disclosing or changing records; do not send identity documents unsolicited. Some records may need to be retained for legal obligations, and we will explain any applicable limitation.

You can also complain to South Africa’s Information Regulator or another competent data-protection authority.

9. Children and updates

This website is intended for adults and is not directed at children under 18. Under POPIA, a child is a person under 18 who is not legally competent to act or decide on a matter without the assistance of a competent person. We do not knowingly collect children’s personal information through this website. If you believe a child has submitted information, contact the Compliance Officer so that we can assess the matter and delete it or handle it on a lawful basis, including competent-person consent where applicable.

We will update this notice if the site’s information practices change and show the revised date. New purposes requiring consent will not be introduced merely by changing this page.
